Good afternoon,

Last week I took you behind the scenes of our recent Future of Work Project and discussed the important role of the project definition, metrics, and our design team to that project and all of the work we do. This week, I’m excited to share the second part of our behind-the-scenes dive into OE’s work by focusing on deliverables, communication, and the project closeout.

Deliverables: Turning ideas into action is what Operational Excellence is all about. Transformation Managers, Candace Reynolds and Suzie Baker, and OE Resident, Meagan Solloway, translated the work of the design team into practical deliverables to serve the campus. In addition to the Flexible Work Options Playbook, OE created the Work Location Form and, with the support of the Office of Human Resources and the HR Information Management Team, the Work Location Options by Job Category list.

Communication: TM’s kept stakeholders informed through a series of communications throughout the project. There were multiple presentations to University leaders and the Carolina HR Council which provided opportunities to solicit feedback to continuously improve upon the work being done. As part of the project launch, a communications plan was developed to share the project deliverables with these stakeholders and all of campus. Those communications included presentations, trainings, an article in the Well, and even this OE email.

Project Closeout: At the end of a project, the TM creates a closeout document that is signed by the executive sponsors. The is document summarizes the work that was completed, defines who will provide ongoing support, and provides recommendations to the functional areas for potential next steps. The design team is surveyed on their experience, so we can continuously improve our internal OE processes. Finally, all of the project materials are provided to the functional lead as the official handoff.
